How does the InPost integration with xSale work?

Integration is an xSale system module that integrates e-commerce logistics with the rest of the order fulfilment process and handles repetitive after-sales tasks. Instead of logging in separately to the courier’s portal, you can generate labels, arrange shipments and track parcels right from where you manage your sales. At the heart of this solution is asynchronous processing – orders do not block one another, so when several hundred orders come in at once during peak sales periods, the system queues them and processes them smoothly.

Thanks asynchronous background processing of a large number of ordersThis does not hold up the dispatch process. The module also supports multi-parcel dispatches, i.e. situations where a single order is dispatched in several parcels, with the cash-on-delivery amount split accordingly. It operates bidirectionally with warehouse systems – stock levels and logistics data flow in both directions, so sales and logistics teams have access to the same, up-to-date information.

Which InPost logistics services does the xSale system support?

The xSale system supports a full range of InPost services required for the day-to-day dispatch operations of an online shop, from collection points to door-to-door delivery. You have two basic dispatch methods to choose from, and the module automatically selects the one that matches the option chosen by the buyer. This means you don’t need to switch between tools when handling shipments.

InPost services available in the xSale module:

  • InPost Parcel Locker - a network of lockers available 24 hours a day, in sizes A, B and C.

  • InPost courier - delivery to the address provided, including for heavier courier parcels.

  • Local and pallet services - for consignments that exceed the standard parcel dimensions.

  • Weekend Parcel - Optional Saturday delivery for orders placed towards the end of the week.

When sending a parcel via a Parcel Locker, the parcel’s dimensions are what matter, which is why the module takes into account the standard dimensions of lockers A, B and C. Choosing the correct size is crucial for successful dispatch via the parcel locker, so please ensure that the parcel’s weight and dimensions match the selected service. The system also recognises orders from Allegro Smart and chooses the delivery method themselves in accordance with the platform’s rules - In our system, orders from Allegro go into the same queue as other sales, so you don’t need to manage them separately.

How do I set up the InPost integration with xSale?

The connection is based on The ShipX API, which is InPost’s interface built using the REST API standard, through which the system exchanges shipment data. You start the setup by entering your login details, then specify the physical location from which you’re sending parcels. The whole process boils down to a few straightforward steps.

Steps for configuring the connection:

  1. Download access details - You can find the Access Token and Organisation ID in the Parcel Manager service.

  1. Enter the keys in the xSale panel - The API key and organisation ID authenticate the connection to InPost’s services.

  1. Define the sender’s address - Specify the location from which the parcels are actually dispatched.

  1. Check the connection in test mode - The sandbox allows you to test the integration without incurring any costs.

  1. Switch to production mode - Once the tests have been successfully completed, you can start sending real parcels.

  1. Configure dispatch templates - Define the default parcel settings to speed up your daily label preparation.

If you manage shipments from several accounts or locations, you can give each connection you set up a custom name to keep your admin panel organised. This label makes it easier to distinguish between accounts when there is more than one active in the panel. Please note that you only need to retrieve the Access Token and Organisation ID once; they are then used for every subsequent data exchange with InPost.

How can you automate the generation of labels and waybills?

Automation involves the following: The consignment note and label are created automatically once the shipment has been generated via the API and are immediately attached to the relevant order. You don’t have to enter the details manually – the address, dimensions and parcel specifications are printed onto the label directly from the order. You can prepare labels individually for urgent shipments or in bulk for the entire batch from a given day.

What makes preparing shipments in the module more efficient:

  • Dispatch templates - The package’s default settings speed up the daily generation of labels for recurring shipments.

  • Bulk label generation - A single click processes the entire batch of orders for that day without having to open each one individually.

  • The Returns Module with Quick Returns - The buyer sends the return parcel directly from the parcel locker using a code, without printing a label.

Shipping templates are the key to preparing labels in bulk when you send out dozens of similar parcels every day. You manage the entire returns process within the same system as sales, so you don’t have to switch between tools.

How do I configure delivery method mapping?

Mapping delivery methods is linking the delivery options displayed in the shop to specific InPost services. Thanks to this, the buyer’s selection in the shopping basket is automatically converted by the system into the correct dispatch method, without the need for manual intervention. It is the system that ensures that an order with the ‘Parcel Locker’ option is actually dispatched to a parcel locker, rather than to a courier. It is important to ensure that the collection point is added to the order.

When a buyer selects a specific Parcel Locker, its ID is sent along with the order to the system and then onto the label, so the parcel is delivered to the location the customer has chosen. Check that each delivery method in your shop is assigned to the correct service. xSale also centralises shipments from multiple channels, so orders from different platforms and shops are consolidated into a single delivery profile - This type of multi-channel service – known as ‘omnichannel’ – means a single set of rules applies to all sales.

How do I synchronise shipment statuses with warehouse systems?

Status synchronisation means that the current delivery status is tracked by InPost and displayed in the customer dashboard for each specific order. The consignment note number and the parcel status are automatically transferred to warehouse management systems and ERP systems, so staff do not check anything manually. The parcel’s tracking information is updated in the background at every stage of the process – from dispatch, through delivery, to the reconciliation of data with sales documents.
