Anyone who sells both on a marketplace and through their own online shop will be familiar with this situation: orders come in from several sources, and each one has to be processed and dispatched individually. The integration of InPost with Apilo brings this scattered dispatch process together in one place and turns the collected orders into ready-to-use labels. With higher volumes, bulk dispatch is particularly important, as it reduces daily logistics tasks to just a few clicks. We’ll walk you through the entire process – from linking accounts to dispatching orders from Allegro and your online shop, all within a single dashboard!

Before you link Apilo to InPost, please check:

  • Multi-channel sales - Orders from Allegro and the shop are placed in a single dispatch queue.
  • Integration via the ShipX API - To get started, you’ll need an access token and an organisation ID from the Package Manager.
  • Mass broadcasting - Labels for the entire batch of orders are created in a single step.
  • Automatic statuses and returns - Consignment numbers and Express Returns are processed without the need for manual intervention.

What features does the InPost integration with Apilo offer?

The integration of InPost with Apilo automates the handling of shipments within the system where you collect orders from various sales channels. Instead of manually transferring data between the platform and the courier’s dashboard, You generate dispatch orders in the same place where you manage your orders anyway. The biggest beneficiaries are multi-channel retailers who want a single logistics solution for all their transactions. From the buyer’s perspective, what matters is the choice of collection point, which makes it easier to Geowidget – map of Paczkomat machines in the basket.

Scope of services available as part of the integration:

  • InPost Parcel Locker - a network of self-service lockers open 24 hours a day.
  • InPost courier - delivery to the address provided, including for heavier parcels.
  • InPost International - international shipments outside the country.
  • Thermal printers - support for printing labels on high-speed posting equipment.
  • Breakdown of the contract - a single order dispatched in several parcels when it does not fit into one.

The system supports both standard courier deliveries via InPost Parcel Lockers and international shipping, so you can manage both domestic and cross-border sales from a single dashboard. On top of that, there’s stock level synchronisation, which ensures that information about goods sold does not get scattered across different channels.

How do I generate an access token and an organisation ID in the Package Manager?

You generate the access token and organisation ID in the Parcel Manager dashboard – that is, on the InPost shipping platform – in the section dealing with API access. These two Authentication credentials are the key that connects Apilo to the carrier’s services via ShipX’s modern API interface. Without them, the integration system has no way of passing on information about the consignment.

To authenticate with the ShipX API, you need an access token and an organisation ID – to obtain these, you must an active business account and a signed partnership agreement with InPost. You only need to retrieve the token once; it is used for every subsequent exchange of data between Apilo and the broadcasting network, so please keep it safe.

How do I link my InPost account to the Apilo system?

You can activate the connection in the Apilo admin panel by entering the organisation ID and access token you obtained earlier in the integration module. This is the first step; without it, the other dispatch settings cannot connect to the carrier. The entire configuration...It’s all done from a single dashboard, where you manage your sales anyway.

Once you have pasted the tracking numbers, please ensure that the recipient details are correct. The system verifies the details before sending them to the logistics provider, which helps to minimise errors and failed shipments.

Before you set off, check:

  • Recipient’s phone number format - a number in the format accepted by the integration; you can find the exact requirements in the dashboard.
  • Test broadcast - Check that the account has passed the connection verification before the first actual dispatch.
  • An active account and a complete set of data - Make sure you have your token, organisation ID and sender’s address to hand.

How do I configure the mapping of delivery methods and the Allegro InPost service?

Mapping delivery methods is linking the options selected by the customer on the sales platform to specific InPost courier services. Thanks to this, the buyer’s selection in the shopping basket is automatically converted to the correct dispatch method, without the need for manual intervention. It ensures that an order selected for collection from a parcel locker is sent for dispatch via the locker, rather than by courier.

Selling via Allegro deserves a special mention. The platform offers dedicated delivery methods Allegro InPost, for example Allegro Paczkomat 24/7, which must be correctly linked in the mapping. Also ensure you meet the integration requirements for Allegro Smart. After configuration, check that each delivery method from your channels has the correct dispatch service assigned to it – a minor mistake will only become apparent at the time of dispatch.

What to link when mapping deliveries:

Element What do you pair it with?
Collection via a parcel locker. The InPost Parcel Locker service for parcel sizes A, B and C.
Delivery to your address InPost Courier service for heavier orders.
Orders from Allegro Allegro InPost’s dedicated services, including Paczkomat 24/7.
International delivery The InPost International service for selected European markets.

How can you generate logistics labels and dispatch parcels on a large scale?

Bulk printing is a feature that allows you to generate labels for the entire batch of orders at once, rather than processing each parcel individually. With dozens or hundreds of shipments a day, this is what reduces logistics processing time in e-commerce the most. You simply select the orders ready for dispatch, and the system generates a full set of documents for them in one go.

To Bulk label generation is the feature that really takes the strain off staff as sales increase. The integration not only generates the address labels themselves, but also the consolidated dispatch report sent to the courier. The data for the label is taken directly from the order, so you don’t have to retype the recipient’s address or the parcel details.

What happens during a mass broadcast?

Documents and options for bulk posting:

  • Address labels - waybills for the entire batch of orders in a single step.
  • Dispatch report - a summary delivery note handed over to the courier.
  • Cash-on-delivery parcels - Cash on Delivery (COD) service with the collection amount assigned to the order.

Shipping templates are useful if you frequently send similar products of the same dimensions. You define the parameters once and apply them to subsequent shipments. You can print the labels on a standard printer or a thermal printer, which is better suited to large volumes of shipments.

How can you automate parcel tracking and returns processing?

Automated tracking works as follows: A tracking number is assigned to the order immediately upon dispatch, and the parcel’s status is updated in real time in the Apilo dashboard. Staff know immediately which parcel belongs to which customer and can see its location without having to check manually. Information on the delivery stage is also sent to the buyer in the form of notifications, so questions such as ‘where is my parcel?’ largely answer themselves.

Once assigned, tracking numbers are automatically linked to orders, shipment statuses are updated in the dashboard without the need for manual intervention, and the buyer can return goods via Quick Returns using a return code or via a Parcel Locker without printing a label.

How does the after-sales returns process work?

The Quick Returns service simplifies the returns process: buyers submit a return request via a dedicated form and post the parcel directly from a parcel locker. The return request is sent back to the InPost dashboard along with the rest of the order details, allowing you to keep all your settlements and after-sales requests in one place.
